You're on a job site, in a meeting, or driving. The phone rings and you can't pick up. By the time you call back, the person has already called the next business on Google.

For service businesses, a missed call is often a missed job. Missed-call text back is a simple fix: when you can't answer, the caller automatically gets a text from your business number within seconds, so the conversation keeps going until you're free.

This guide explains how it works, what to say, how to set it up, and the mistakes to avoid.

    What is missed-call text back?

Missed-call text back is an automation connected to your business phone number. When a call goes unanswered, it sends a text to the caller, something like:

Hi, this is Riverside Plumbing. Sorry we missed your call! How can we help? Reply here and we'll get right back to you.

The caller can reply by text right away, which many people prefer anyway. Their reply goes into your inbox, where you or your team can answer between jobs.

    Why it works

    • People who call usually have a real need right now. A quick text tells them you're responsive, before they move on to a competitor.
    • Texting is easier for both sides. The caller can explain what they need without waiting on hold or leaving a voicemail. You can reply in 30 seconds between tasks.
    • Nothing falls through the cracks. Every missed call becomes a written conversation with a name and phone number, instead of a voicemail you forget to return.
    • Speed matters. In the MIT and InsideSales lead response study, the odds of reaching a lead were 100 times lower at 30 minutes than at 5. An instant text keeps you inside that window even when you can't answer.

    Who it's best for

Missed-call text back is most useful for businesses where the person answering the phone is also doing the work:

    • Cleaning, plumbing, HVAC, electrical and other home services
    • Trucking companies, where dispatchers and recruiters are always on another line
    • Salons, clinics and studios during appointments
    • Contractors and solo operators
    • Any business that gets calls after hours

What a good text back says

Keep it short, friendly and specific. A good message:

    1. Says who you are (the caller may have called several businesses)
    2. Apologizes briefly for missing the call
    3. Invites a reply with one easy question
    4. Offers a next step, like a booking link, if it fits

    Examples:

Hi, it's BrightNest Cleaning. Sorry we missed you, we're with a client! What can we help with? You can also book a quote here: [link]

Thanks for calling Lakeview Freight. Our team is on another line. Is this about a load, a driving job, or something else? Reply and we'll text you right back.

Sorry we missed your call! This is Northside Dental. Reply with your name and what you need, and we'll get back to you within the hour.

Avoid long messages, marketing offers and links that look like spam. The goal is to start a conversation, not to sell.

    How to set it up

    1. Use a business number that can send texts from your CRM or phone system, not your personal cell.
    2. Register the number for A2P 10DLC. Carriers block unregistered business texts. Our A2P 10DLC registration guide walks through it.
    3. Write your message and include your business name.
    4. Decide when it runs. Some businesses use it all day, others only after hours or after a set number of rings.
    5. Route replies to one shared inbox so whoever's free can answer.
    6. Set a reply-time goal. The automatic text buys you time, but a real person should follow up quickly.
    7. Track results: missed calls, replies, and how many became booked jobs.

    Mistakes to avoid

    • Texting from an unregistered number. Your messages may never arrive.
    • Sending it and forgetting it. If nobody answers the reply, the caller is more frustrated than before.
    • Adding callers to marketing lists. Someone who called you hasn't agreed to receive promotions. Keep the text back to their inquiry, and ask for permission before sending marketing messages. The industry texting guidelines treat promotional texts differently from replies to a customer's request.
    • Ignoring STOP requests. If someone replies STOP, confirm once and stop texting them.
    • Robotic wording. "Your call is important to us" sounds like a phone tree. Write like a person.

    • No marketing messages without permission
