Speed to Lead: How Cleaning Companies Win More Jobs

The cleaning company that responds first usually gets the job. Here's how fast to respond to new leads, what to say, and how to do it even when you're on a job.

A homeowner needs a deep clean before their in-laws arrive on Friday. They search Google, open three cleaning company websites, and fill out all three quote forms in five minutes.

One company texts back in two minutes with a few questions and a link to book. Another calls the next morning. The third emails a quote two days later.

Who gets the job? Almost always the first one. This is speed to lead: how quickly you respond to a new inquiry. For cleaning companies, it's one of the cheapest ways to win more jobs from the leads you're already paying for.

    Why speed matters so much

People looking for a cleaner usually aren't browsing. They have a need, often with a date attached, and they contact several companies at once. The first company to respond with something useful sets the price expectation and often books the job before the others call back.

Research backs this up. In the well-known lead response study by MIT and InsideSales, based on more than 15,000 web leads, the odds of reaching a lead by phone were 100 times lower when calling at 30 minutes instead of 5 minutes. The odds of qualifying the lead were 21 times lower. A related article in Harvard Business Review concluded that most companies don't respond to online inquiries nearly fast enough.

That study wasn't about cleaning companies, and it measured phone calls, not booked jobs. But the lesson carries over directly: interest fades fast, and the first few minutes matter most.

    How fast is fast enough?

    Response timeWhat usually happens
Under 5 minutesThe lead is still on their phone, still thinking about it
5–30 minutesThey may have contacted other companies; still winnable
1–24 hoursSomeone else has probably already replied
Next day or laterMostly lost, unless no one else responded

Aim for a reply within five minutes, every time, including evenings and weekends. That sounds impossible when you're running crews. It isn't, if the first reply doesn't depend on you.

    Where cleaning companies lose leads

Most leads aren't lost to a better competitor. They're lost to gaps like these:

    • Missed calls. You're on a job, the phone rings, nobody calls back until the evening.
    • Website forms going to an inbox that gets checked once a day.
    • Facebook and Instagram messages that sit unread for days.
    • Leads from ads that land in a separate tool nobody looks at.
    • Weekend and evening inquiries, when nobody's at the office but people are planning their week.
    • No follow-up. One reply, no answer, and the lead is forgotten.

    A simple speed-to-lead system

    1. Put every lead in one place

Calls, website forms, ad leads, Google Business Profile messages and social DMs should all land in one inbox. If you have to check five apps, you'll be slow on at least one of them.

    2. Send an instant first reply

Within a minute or two, every new lead should get a friendly text and email confirming you got their request. A good first reply does three things: thanks them, asks one or two useful questions, and gives them a way to book.

Hi Jessica, thanks for reaching out to BrightNest Cleaning! To get you an accurate quote: how many bedrooms and bathrooms, and is this a one-time deep clean or recurring? You can also grab a time for a quick estimate here: [link]

    3. Let them book right away

Many people would rather pick a time than wait for a call. A booking link for estimates or first cleans lets ready-to-go clients commit while they're still interested.

    4. Text back missed calls

If you can't answer, an automatic text within a minute ("Sorry we missed you, how can we help?") keeps the conversation alive. Our guide to missed-call text back explains how to set it up.

    5. Follow up more than once

Many leads don't reply to the first message. They're busy, not uninterested. A short sequence over a few days works well:

    • Day 0: instant reply (text + email)
    • Day 1: a friendly check-in with the booking link
    • Day 3: a short note with a reason to book now (open slots this week, or what's included in a deep clean)
    • Day 7: a last, no-pressure message

Stop as soon as they reply or book, and always honor STOP requests.

    6. Measure it

Once a month, check three numbers: how many leads came in, your average time to first response, and how many booked. If response time goes up, bookings usually go down.

    Before you automate texting

If you text leads from a business number, make sure it's registered for A2P 10DLC, or carriers may block your messages. Ask for permission to text on your quote forms with a clear, unchecked checkbox, and include "Reply STOP to opt out" in your messages.

    Speed-to-lead checklist

    • All lead sources go to one inbox
    • Every new lead gets a reply within 5 minutes, 7 days a week
    • First reply asks a useful question and includes a booking link
    • Missed calls get an automatic text back
    • A follow-up sequence runs for leads who don't reply
    • Texting number registered, with opt-in on forms
    • Response time and booking rate checked monthly
